At Tropic Ocean Rent-A-Car, we strive to provide a fair and transparent refund process. This Refund Policy outlines the conditions under which refunds are issued for our car rental services.
Eligibility for Refund
Refunds are considered under the following circumstances:
- Cancellation by the Customer: Refund eligibility depends on the timing of the cancellation relative to the scheduled pickup date.
- Cancellation by Tropic Ocean: Full refund if we are unable to provide the reserved vehicle.
- Service Issues: Partial or full refund may be offered if the service provided significantly deviates from the agreed terms.
Cancellation Timeline
48+ Hours Before Pickup
- Full refund of any advance payment.
- No cancellation fees applied.
- Refund processed within 3-5 business days.
24-48 Hours Before Pickup
- 50% refund of advance payment.
- Cancellation fee of 50% applies.
- Refund processed within 5-7 business days.
Less Than 24 Hours / No-Show
- No refund for cancellations within 24 hours.
- No-shows are charged the first full day of rental.
- No refund for unused rental days after pickup.
Early Return
If you return the vehicle before the end of the agreed rental period, no refund will be issued for the unused days. The rental charge covers the full booked period regardless of early return.
Payment Method Refunds
Refunds are processed to the original payment method used for booking. For Tabby and Tamara payments, refund timelines follow the respective platform’s standard processing period (typically 5-14 business days).
Damaged or Defective Vehicle
If the vehicle provided is defective or does not match the reserved specifications, we will offer a free replacement of equal or greater value. If no suitable replacement is available, a full refund will be issued.
How to Request a Refund
To request a refund, please contact our team with your booking details:
- Via WhatsApp with your booking confirmation.
- By calling +971 56 222 3386.
- Refund requests must be submitted within 48 hours of the cancellation or service issue.
Non-Refundable Items
- Traffic fines, Salik charges, or parking fees incurred during rental.
- Fuel charges for vehicles returned without a full tank.
- Damage repair costs resulting from driver negligence or policy violation.
- Late return surcharges.
- GPS navigation or child seat rental add-ons once used.
Dispute Resolution
In the event of a dispute, Tropic Ocean will review the case and provide a resolution within 7 business days. If you are unsatisfied with the outcome, you may escalate the matter to the Dubai Department of Economy and Tourism (DET) for mediation.
